What it is

What is a thermal printer?

A thermal printer prints by applying heat to thermal paper (direct thermal) or to a transfer ribbon that leaves the image on a durable label (thermal transfer). It uses no toner or liquid ink · just heat plus thermal paper or ribbon. Thermal printers are the professional choice for point of sale (POS), warehouse, logistics, labelling, shipping and barcodes. Faster, quieter and lower-maintenance than a laser or inkjet printer.

Print speed

Prints a receipt or label in under 1 second. Ideal for POS, payments and fast-moving logistics.

No ink, no toner

Minimal maintenance. Just thermal paper or transfer ribbon. No printheads to clog or dry out.

Compact and quiet

Small footprint for counters and till stations. Almost silent · runs right next to the customer.

Works with EPOS / ERP

USB, Ethernet, WiFi, Bluetooth. Compatible with EPOS systems, ERPs and warehouse management software.

Use cases

What are thermal printers used for?

Thermal printers are essential in sectors that need to print labels, receipts or barcodes at high speed without juggling complex consumables. These are the most common use cases:

Point of sale (EPOS / POS)

Till receipts, payment slips, transaction records. Shops, restaurants, bars, cafes, kiosks. Receipt and ticket printers KW-M804 and KW-M806.

Warehouse and traceability

Product, location, parcel and batch labels. Barcodes and QR codes. KW 430B label printer with built-in barcodes.

Shipping labels

Labels for couriers (SEUR, MRW, Correos Express, GLS). Compatible with e-commerce platforms and marketplaces. KW-D464B printer.

Identification and inventory

Inventory labels, QR codes, barcodes. Required for food, healthcare, retail and B2B.

Types

Direct thermal vs thermal transfer · which one do you need?

Thermal printers split into two types based on the printing technology. The right choice depends on the durability your label needs and the environment where it will be used.

Direct thermal

Heat is applied directly to special thermal paper. No ribbon or extra consumables. Ideal for till receipts, payment slips and short-life shipping labels (~1 year). Cheaper and simpler, perfect for POS, courier work and retail.

Receipts · Slips · Shipments < 1 year

Thermal transfer

Heat melts a transfer ribbon onto the label, leaving a permanent image. Ideal for long-life labels (years of service), resistant to sun, water and chemicals. Needs ribbon plus labels. For industrial or outdoor use.

Frequently asked questions

What people ask us about thermal printers

What is the difference between a thermal printer and a laser/inkjet?

Thermal printers print without ink or toner · they use heat on thermal paper (direct thermal) or a transfer ribbon. They are faster, quieter, more compact and lower-maintenance. Built for receipts, slips, labels and barcodes · they do not print A4 documents. Laser and inkjet printers print A4 documents with toner or ink · designed for the office, not for POS or labelling.

Do I need special thermal paper for my thermal printer?

Yes. Direct thermal printers need special thermal paper (coated with a heat-reactive layer). Thermal transfer printers need labels plus a transfer ribbon. They will not work with plain or A4 paper. Thermal paper is sold in rolls based on the width your printer needs (58 mm, 80 mm, etc.).

Which thermal printer do I need for my EPOS?

For retail or hospitality POS / EPOS, the best fits are the KW-M804 (receipts) and the KW-M806 (tickets). Compatible with most till software on the market. Before buying, check with your software provider which thermal printer they recommend and what paper width it uses (usually 58 mm or 80 mm).

What if I need to print barcodes or product labels?

For barcodes and product identification, the right choice is the KW 430B (label printer with barcodes). If you need shipping labels for e-commerce or courier work, the KW-D464B is the right fit. Both are direct thermal and need no ribbon · just thermal paper or thermal labels.

How long does a roll of thermal paper last?

A standard thermal paper roll (80 mm × 80 m) prints around 800-1,000 till receipts. For a shop with 50-100 transactions per day, that lasts 10-20 days. If you print shorter labels (shipments, products), a roll lasts much longer. Thermal paper has a shelf life: 1-2 years in normal conditions, less if exposed to sun or heat.

Do thermal labels fade in the sun?

Direct thermal: yes, they fade with sun, heat or friction · roughly 1 year of life in normal conditions. Thermal transfer: no, they are permanent · resistant to sun, water and chemicals. For labels that will live outdoors or in a sunlit warehouse, you need thermal transfer with ribbon.

Can I get technical advice before buying a thermal printer?

Yes. Thermal printers are use-case specific. If you are torn between direct thermal or transfer, model, paper width or connectivity, message us on WhatsApp with your use case (POS / warehouse / shipping / labelling). We recommend the right option in under 2 hours.

Do you invoice businesses?

Yes. We invoice Spanish and European VAT numbers. For EPOS fleets and corporate warehouses we offer volume discounts and recurring supply of thermal paper and ribbons.
