Buying toner wholesale: a guide for businesses and resellers

Almost every guide to buying wholesale is written to sell you a «wholesale account» you probably don't need. Before you fill in any form, it's worth separating two situations that get confused constantly: buying in bulk to consume yourself and buying in bulk to resell. They are different operations, with different prices, different margins and different paperwork.
If you run an office with six printers you are not a distributor: you are a customer with volume. Applying for a wholesale account is usually a long detour to arrive at the same price.

Do you actually need a wholesale account?
It comes down to one question: is the toner you buy consumed inside your company, or does it leave again through the door, invoiced to a third party?
If you consume it — offices, practices, accountancy firms, clinics, training centres, public bodies — you are not a reseller and you don't need to register for anything. You need volume pricing and to not run out. That is solved by buying normally and letting the quantity discount do its job.
If you resell it — IT services, managed print, stationers, office maintenance — the model changes. You need margin over RRP, territorial protection and a supplier who doesn't compete against you in your own accounts. That's a commercial agreement, not a shopping cart.
Buying volume for your own use: the real tiers
In our catalogue the quantity discount is automatic and applies per reference. There's no code to enter and no account to request: the price simply drops in the cart.
- 2 units of the same reference — 3%
- 3 to 4 units — 5%
- 5 to 9 units — 8%
- 10 or more — 15%
Two honest caveats. First: it's calculated per order line. Ten cartridges of the same model reach 15%; ten cartridges of ten different models do not. If you manage a mixed fleet, group by reference and order more units of fewer models. Second: multipacks and bundles are excluded, because they already have bundle pricing applied.
For a mid-sized fleet this is usually enough. An office that gets through ten toners a quarter and buys them in one go is paying essentially wholesale prices without having applied for anything.
The reseller programme: when it pays off
A distributor account makes sense when you resell. Our published terms are margins of 40-60% over RRP, territorial exclusivity, an assigned account manager and no minimum order for active accounts. What's worth asking before signing with any supplier, ours included:
- Who issues the invoice? There should be a registered company with a tax number behind it, not just a brand. Verifiable in the relevant companies register.
- Where does the product come from? A supplier who can't tell you where what they sell is manufactured is one more middleman.
- What happens with your customers' returns? If you face the end customer, you need to know how quickly your supplier replaces stock for you.
- Is the exclusivity in writing? Territorial protection that isn't in the contract doesn't exist.
- What is the real delivery time to your country? Not their warehouse dispatch time: the time it takes to reach your door.
The mistake that costs most: not calculating your reorder point
Almost everyone optimises the unit price and nobody calculates when to order again. It should be the other way round: an office standing idle because the toner ran out costs considerably more than the 15% you saved.
Safety stock = monthly consumption ÷ 30 × delivery days × 1.5
With consumption of 10 toners a month and 48-hour delivery, that gives about 2 units of buffer. Round up: 3. When you drop below 3, you order. Not when you hit zero.
The variable most people get wrong is the delivery time. Don't use the one on the supplier's website: use the time it genuinely takes to reach your country. Our shipments leave the warehouse in Los Barrios (Cádiz, Spain) and orders placed before 12:00 go out the same day, but transit to your address depends on the destination. Ask, and put that number in the formula.
How to store toner without ruining it
Toner powder is sensitive to humidity and temperature. A cartridge stored badly for six months can produce problems that look like manufacturing defects without being one, and nobody wins that argument with a supplier. Four rules:
- Flat and in its original box. The packaging protects the drum from light; stored upright, the powder cakes to one side.
- Between 15 and 25 °C, relative humidity 40-60%. Too dry generates static and causes smearing; too humid causes caking.
- Not next to a window or on top of a radiator. Heat cycles are the worst thing for the resin.
- FIFO: oldest stock first. As well as preventing it going stale, it stops you accumulating older chip versions against firmware updates.
Stored properly, a cartridge keeps perfectly well for a couple of years. That is precisely what makes buying in volume viable: if you couldn't store it, the discount would be worthless.
Invoicing, VAT and warranty on business purchases
The invoice. It must carry the registered company name, tax number and a VAT breakdown so you can reclaim it. In our case the invoice is issued by CHICTRATEC S.L. (tax number B72834534, EU VAT ESB72834534), registered in Los Barrios, Cádiz (Spain). If a supplier only gives you a receipt with a trading name, you have an accounting problem, not an aesthetic preference.
VAT. Shop prices are shown VAT-inclusive. For a business the real cost is the net amount, so if you compare against a wholesaler publishing ex-VAT prices you are comparing different figures. Always compare net with net. If you're buying from another EU country with a valid intra-community VAT number, check the treatment that applies to your transaction.
The warranty. Here's a distinction worth saying out loud. Directive (EU) 2019/771 guarantees a minimum of two years of conformity across the European Union, and several member states extend it — Spain, for instance, has taken it to three. But that legislation protects the consumer. In a business-to-business sale, commercial law and whatever you agreed apply, not consumer law. Any supplier selling you «statutory warranty» as a B2B argument is applying a consumer rule to a commercial transaction. Ask what specific replacement commitment they take on by contract, and get it in writing. We also include 30-day returns on unused product in original packaging.
Frequently asked questions
Is there a minimum order for buying wholesale?
For your own consumption there is no minimum: the quantity discount activates from the second unit of a reference. For active distributor accounts we don't require a minimum order either. Separately, bear in mind the store's general minimum purchase and the free-shipping thresholds, which are a different thing and vary by destination country.
Can I mix different models to reach the 15% tier?
No. The calculation is per reference, not per order total. Ten units of the same model reach 15%; ten different models each stay in their own tier. If you have a mixed fleet, concentrate purchases on your highest-turnover references and order the rest as needed.
Does the quantity discount stack with other offers?
It applies automatically in the cart on eligible references. Multipacks and bundles are excluded because they already carry bundle pricing. If you see an amount that doesn't add up, write to us before paying and we'll check it.
How long does distributor approval take?
We review the profile and get in touch within 24-48 working hours. It's a commercial review, not an automatic process: we want to know your territory and what kind of customer you sell to, precisely so we don't overlap you with another distributor.
Do you sell original cartridges too?
No. We work exclusively with compatible consumables. If you need OEM for a specific account, buy it from the manufacturer's authorised distributor: in the wholesale channel for originals the counterfeiting risk is real and not worth saving a few euros over.
