Printer won't print even though it has ink: causes and solutions
Share
Summary: If the printer won't print even though it has ink, the problem is almost never the consumable: it is usually a blocked print queue, a lost connection (Wi-Fi or USB), the printer marked as "offline" or paused, or a faulty driver. This guide walks through the checks in order, from fastest to most technical, so your document prints without changing anything that doesn't need to be changed.
Few things are more frustrating than a printer that is on, has ink and paper, and simply doesn't respond. The good news: in the vast majority of cases it's a software jam, not a breakdown. Follow these checks in order and don't skip any.
Quick checks (solve half the cases)
- Restart the printer. Turn it off, wait 30 seconds and turn it on. This clears temporary memory errors.
- Restart the document. Cancel the print job and send it again.
- Look at the printer's screen. A paper jam, an open lid, or an error message will stop it even if it has ink.
- Check that it's the correct printer. Windows and Mac sometimes send the job to a "virtual" printer (PDF, OneNote, Fax) or another one in the office.
If this doesn't work, let's move on to the specific causes.
The print queue is blocked
It's the number one reason. A job gets stuck in the queue and blocks all subsequent ones.
In Windows
- Open Settings → Bluetooth & devices → Printers & scanners and select your printer.
- Click Open print queue.
- Cancel all documents in the list (right-click → Cancel).
- If a job won't cancel, restart the service: press Windows + R, type
services.msc, find Print Spooler, right-click → Restart.
In Mac
Open System Settings → Printers & Scanners, select the printer, click Print Queue and delete the stopped jobs. If the queue doesn't respond, right-click on the printer → Reset printing system.
The printer appears "offline" or "paused"
Windows marks the printer as Offline when it loses contact for a moment, and sometimes it doesn't return on its own. In Printers & scanners, open the queue and check the Printer menu: uncheck Use Printer Offline and Pause Printing if they are enabled. Then restart the printer so Windows recognizes it again.
Connection problem
- Via Wi-Fi. Confirm that the printer is still connected to the network (its screen usually indicates it) and that the computer or mobile is on the same network. If the printer has lost Wi-Fi, follow our guide how to connect the printer to Wi-Fi.
- Via USB cable. Try another USB port and, if you can, another cable. Connect directly to the computer, not through a hub.
The driver is faulty or outdated
The driver is the software that translates your document into the printer's language. If it becomes corrupted after a Windows update, the printer stops responding.
- In Printers & scanners, remove the printer.
- Download the latest driver from the manufacturer's official website (HP, Epson, Canon, Brother), not from third parties.
- Add the printer again with the new driver.
The printer doesn't recognize the cartridge
If the printer won't print and also shows a warning of cartridge not recognized, not detected, or "not original", it's a different problem, frequent after a firmware update. We cover it thoroughly, with a solution by brand, in my printer doesn't recognize compatible toner.
Print a test page from the printer itself (Settings menu → Reports). If that one prints but the computer document does not, the problem is with the computer or connection, not the printer. This test saves you half an hour of diagnosis.
Quick summary by brand
| Brand | Diagnostic tool |
|---|---|
| HP | HP Smart includes "Diagnostics and Repair", which detects and corrects queue and connection failures automatically. |
| Epson | Epson Smart Panel shows printer status and pending jobs. |
| Canon | Canon IJ Printer Assistant Tool manages status, queue, and maintenance. |
| Brother | Brother iPrint&Scan and the Status Monitor utility notify about the actual status of the device. |
When the problem actually is the ink
Even if the cartridge has ink, the printer may refuse to print if it detects a level that is too low, if the cartridge chip is damaged, or if a color is missing (some models don't even print in black if a color is missing). Check levels from the manufacturer's app. If a recent cartridge fails for no reason, you have 3 years of legal warranty; and for refills, here you have certified compatible ink and toner.
Frequently asked questions
Why won't my printer print if it has ink?
The most common cause is not the ink, but a job stuck in the print queue, the printer marked as "offline" or "paused", a lost Wi-Fi or USB connection, or a faulty driver. Review those checks in order before touching the cartridges.
How do I unlock the print queue in Windows?
Open Printers & scanners, select the printer, and click "Open print queue"; cancel all documents. If one won't cancel, press Windows + R, type services.msc, find the "Print Spooler" service, and restart it.
My printer appears as "offline", what do I do?
In Printers & scanners open the queue and, in the Printer menu, uncheck "Use Printer Offline" and "Pause Printing". Then restart the printer so the computer recognizes it again. Also check that both are on the same Wi-Fi network.
The printer prints its test page but not my documents
That confirms the printer works: the problem is in the computer or connection. Check the print queue, the driver, and that the document is sent to the correct printer and not a virtual one (PDF, Fax).
Do I have to reinstall the driver?
Only if the queue and connection checks don't solve anything. Remove the printer from Printers & scanners, download the latest driver from the manufacturer's official website, and add it again.
The printer won't print and says the cartridge is invalid
It's a different problem from the queue: the printer doesn't recognize the cartridge, something frequent after a firmware update. Consult our specific guide "my printer doesn't recognize compatible toner" for the solution by brand.
Can a printer refuse to print with color ink if I want to print in black?
Yes. Some inkjet models block all printing, including black, if a color cartridge is empty, because they use the colors for maintenance tasks. Replace the exhausted color or look in the settings for the print in black only option.
